Whistleblowing Policy
Introduction
At Gymlab, we are committed to maintaining the highest standards of integrity, transparency, and accountability. This Whistleblowing Policy encourages all staff, volunteers, and members to report any concerns about illegal, unethical, or unsafe practices without fear of retaliation. Gymlab will take any whistleblowing concerns seriously and ensure they are addressed promptly and thoroughly.
Scope
This policy applies to all Gymlab employees, volunteers, coaches, contractors, and any other individuals involved with Gymlab’s operations. It covers concerns about:
- Health and Safety Risks: Any practices or incidents that could endanger individuals, including unsafe coaching or facility conditions.
- Child Protection Concerns: Any behaviour that may pose a risk to the well-being or safety of children, in line with our Safeguarding Policy.
- Unethical or Illegal Practices: Fraud, bribery, discrimination, or any form of misconduct within the organization.
- Bullying or Harassment: Any form of bullying or harassment, whether between staff, coaches, volunteers, or members.
Procedure for Raising Concerns
1. Reporting Channels:
Concerns should be reported to the Designated Whistleblowing Officer or directly to the Club Manager. You may also submit a report anonymously by email to: welfare@gymlab.fit
2. Confidentiality:
We understand that whistleblowers may be concerned about confidentiality. All reports will be treated in the strictest confidence, and the identity of the whistleblower will be protected unless disclosure is required by law.
3. Action on Concerns:
Upon receiving a concern, the designated officer will:
- Acknowledge receipt of the complaint within 5 working days.
- Investigate the concern fully, keeping the whistleblower informed of progress.
- Take appropriate action based on the findings of the investigation, which may include disciplinary action, changes to procedures, or reporting to external authorities.
4. Protection Against Retaliation:
Gymlab strictly prohibits any form of retaliation against individuals who raise concerns in good faith. If an employee or volunteer feels they are being subjected to retaliation, they should report it immediately to the **Whistleblowing Officer**.
False Allegations
Gymlab will not tolerate false or malicious allegations. Individuals found to be making knowingly false claims may face disciplinary action.
Monitoring and Review
This policy will be reviewed annually to ensure its effectiveness and updated in accordance with relevant legislation or organizational changes.
